Diagnosing Low Response Rates
If your outreach response rate is below 5%, something in your process needs fixing. This playbook helps you identify and resolve the most common issues.
Subject Line Optimization
- Keep subject lines under 50 characters
- Avoid spam trigger words like “free,” “opportunity,” or “partnership”
- Use the recipient’s name or site name when possible
- Test question-based vs. statement-based subject lines
- Examples that work: “Quick question about [their article]” or “[Your name] + [Their name] collab?”
Email Body Improvements
- Cut the length — if your email is over 150 words, trim it
- Lead with value — explain what they get before explaining what you want
- Remove filler — eliminate phrases like “I hope this finds you well” or “I came across your site”
- Be specific — mention exact pages, articles, or metrics
- One clear CTA — ask one question, not three
Timing and Delivery
- Send Tuesday through Thursday for highest open rates
- Aim for 9-11am in the recipient’s local timezone
- Avoid sending on weekends or holidays
- Check that your emails are not landing in spam (use deliverability tools)
A/B Testing Framework
Test one variable at a time across batches of 50 emails:
- Week 1: Test two different subject lines
- Week 2: Test two different opening lines
- Week 3: Test two different value propositions
- Week 4: Test two different calls to action
